Terms and Conditions
Our Philosophy of Commitment
At Grit & Grace Adventures, we curate intimate, founder-led experiences designed for depth and connection. Because our groups are small and our boutique accommodations are secured far in advance, these terms ensure the sustainability of our journeys and the quality of experience for every guest.
Cancellation by Guest
Life transitions are often unpredictable. If you find you can no longer join us, please notify us in writing immediately. Your cancellation date is the day we receive your written notice.
The Commitment Deposit
The deposit required at the time of booking is non-refundable as it secures your place in our small group and allows us to commit to our local partners. If you cannot attend, you may transfer your registration to another guest for a $100 USD administrative re-listing fee. If you have paid for your journey in full, the portion designated as the deposit remains non-refundable.
Balance Payments
Settling your balance is the final step in securing your journey. Unless otherwise stated for a specific destination, your balance is due 90 days before the adventure start date. There are some exceptions/destinations where the balance may be due sooner. Failure to complete payment by the deadline may result in the cancellation of your reservation and the forfeiture of your deposit and any funds sent to third-party vendor partners.
Refund Schedule
We recognize that significant life events can alter your plans. Our refund policy reflects our commitments to international partners:
Cancellations made after the balance payment but more than 90 days before departure will receive a 50% refund of the balance, excluding the non-refundable deposit.
Cancellations made within 90 days of the adventure start date are 100% non-refundable.
All refunds are subject to a 3% administrative processing fee.
Mandatory Travel Insurance
To protect your investment and your well-being, all Grit & Grace adventurers are required to obtain comprehensive travel and cancellation insurance. We require proof of insurance before departure and reserve the right to refuse participation without it. This insurance is your primary protection against unforeseen medical issues, family emergencies, or travel disruptions.
Flights and Personal Expenses
Guests are 100% responsible for the booking and cost of their own airfare, and are responsible for obtaining comprehensive travel and cancellation insurance. Grit & Grace Adventures is not responsible for any costs associated with flight cancellations, delays, or changes, even in the event that a journey is postponed or cancelled by us.
Adventure Cancellation by Founder
Grit & Grace Adventures reserves the right to cancel a journey if the minimum group size is not met or due to unforeseen safety concerns. In the event of a company-led cancellation, depending on the cause, you will receive a full refund of all monies paid to Grit & Grace Adventures. You may also choose to transfer your credit to a future boutique journey. We will provide notice of any such cancellation at least 30 days before departure. If the cancellation is out of the control of Grit & Grace Adventures Ltd - acts of nature, safety, etc., deposits may be non-refundable. This will be on a case-by-case basis.
Code of Conduct & Good Behaviour
All participants are expected to conduct themselves with respect, integrity, and consideration for others throughout the duration of the retreat. Any form of theft, harassment, rudeness, disrespectful behaviour, aggression, or actions that compromise the safety, harmony, or well-being of others will not be tolerated.
The Organizer reserves the right, at its sole discretion, to remove any participant whose behaviour is deemed inappropriate or disruptive. In such cases, the participant will be required to leave the retreat immediately, without refund, and will be solely responsible for any additional travel, accommodation, or related expenses incurred as a result of their removal.
Force majeure Policy
Force Majeure refers to any event or circumstance beyond the reasonable control of Grit & Grace Adventures that prevents, delays, or materially affects the ability to deliver the retreat as planned.
These events may include, but are not limited to:
Acts of God or natural disasters (including earthquakes, floods, fires, storms)
War, armed conflict, invasion, or acts of foreign enemies
Terrorism or threat of terrorism
Civil unrest, political instability, riots, or insurrection
Government actions, travel advisories, border closures, or restrictions
Airspace closures, airport shutdowns, or significant disruption to transportation systems
Pandemics, epidemics, or public health emergencies
Strikes, labour disputes, or supplier/vendor failures beyond our control
Any other unforeseeable circumstance that makes it unsafe, illegal, or impossible to operate the retreat
In the Event of Force Majeure
If a Force Majeure event occurs, Grit & Grace Adventures reserves the right to:
Modify the itinerary, accommodations, or included experiences as necessary
Postpone the retreat to a later date
Cancel the retreat if it cannot safely or reasonably proceed
Financial Terms Under Force Majeure
By booking with Grit & Grace Adventures, you acknowledge and agree that:
All payments made are subject to the terms and conditions of our third-party partners, including but not limited to hotels, local operators, and transportation providers
In many cases, funds are prepaid and non-recoverable once committed to secure the retreat
In the event of a Force Majeure disruption:
Any refunds will be strictly limited to funds recovered from third-party suppliers
If suppliers issue credits instead of refunds, those credits will be passed on to you where possible
Grit & Grace Adventures is not responsible for unrecovered costs due to Force Majeure events
Health and Safety Protocols
We follow all local health regulations and entry requirements for our host countries. Guests are responsible for meeting all vaccination or testing requirements. Should you choose not to comply with a destination’s entry requirements, our standard cancellation policy applies.
Media and Presence
By joining a Grit & Grace Adventure, you consent to being part of our visual story. We may capture photographs or video during our journeys for use in our boutique marketing and digital presence. If you prefer to remain off camera, please inform your guide at the beginning of the trip.
Professional Responsibility
Grit & Grace Adventures acts as a facilitator for your experience. While we choose our partners with immense care, we are not liable for the actions of third-party providers such as airlines or transport companies. We are a TICO-registered agency (#50027509) and adhere to the highest industry standards of professional conduct.
Privacy and Data
Your personal information is a sacred trust. We collect only what is necessary to ensure your safety and comfort during your journey. We do not sell your data. We use cookies and analytics on our website solely to understand how to better serve our community. You may opt out of digital tracking at any time through your browser settings.
